Getting started with the platform
Who is this article for?
Administrators accessing the platform for the first time.
Administrator role is required.
This article serves as a checklist to efficiently set up your environment, with links to resources that will guide you through each step. Use it as a roadmap for initial configuration, from user access to module launch.
Since every organisation is unique, tailor the steps to fit your site structure, regulations, and internal processes.
1. Platform setup
To complete the initial setup:
- Configure global settings - Confirm your organization name, site hierarchy, and time zone.
- Verify access permissions - Ensure you have access to all required modules. Add other Administrators as needed.
2. User setup
To complete user setup:
- Add users - Create accounts for users who will need access to the platform.
- Add role types - Create role types (e.g. Administrator, EHS Officer, Principal Investigator, Contractor) to make permissions management easier.
- Assign roles - Apply role-based permissions to control access for viewing, editing, or approving records. Ensure approval roles (e.g. RA Approver, Permit Reviewer) are assigned before enabling workflows.
- Configure notifications - Set recipients for approvals, expirations, and corrective actions.
- Configure approvers - Confirm that approval workflows align with your internal review structure.
3. Module setup
To complete module setup:
- Follow the step-by-step instructions for each module you enable:
- Compliance Calendar
- Chemical Inventory
- LATCH
- Radioactive Safety
- Risk Assessment
- Training
- Configure custom fields - Define fields, dropdown lists, and help text to match your workflows.
- Test forms - Confirm each form captures all required data for your site.
Example
Depending on your industry, you may want to focus on different modules:
- Academia – Chemical inventory and biosafety protocols
- Manufacturing – Risk assessment and asset management
- Construction - Permits and compliance calendar workflows
4. Validating setup
To validate the elements you've set up:
- Create sample records
- Work through a full approval or review cycle
- Confirm automated emails are reaching the right users
- Run basic reports or exports to validate data accuracy
- Fine-tune dropdowns, field labels, and notifications before go-live
5. Preparing for go-live
To prepare for launch:
- Provide short demonstrations for managers and site users
- Share login links and user guides relevant to their roles
- Communicate when each module will be active
- Encourage users to log in and review their assigned tasks or inventories
- Schedule quarterly admin reviews to clean up data, update settings, and check for system updates
Tip
Start small - enable one or two modules first, confirm workflows, and expand as your team gains familiarity. This approach ensures a smooth rollout and helps users build confidence before full deployment.
