Adding inventory through the order workflow

Principal investigators and administrators who use the order workflow to add radioactive material inventory with full traceability.
Administrator permissions are required.
This article explains how radioactive material inventory is added through the order workflow, including required fields, optional settings, and permit‑limit checks.
1. Adding inventory through the order workflow
Using the order workflow creates a complete record from order to receipt, delivery, and confirmation into inventory. This method also automatically checks permit limits to ensure compliance.
2. PI places the order
Principal investigators place orders by navigating to latch and selecting order. They then select Create new order and complete the required fields in the add order window.
- Order date – Enter the date of the order.
- Order for – Select the principal investigator placing the order.
- PO number
- This can be required using the setting under edit settings, rad, PO number required to place an order.
- Blanket PO?
- If set to yes, additional radioactive material items can be added over time under the same PO.
- Default behavior can be configured under edit settings, rad, blanket PO by default.
- Delivery location
- Rooms are limited to spaces listed on the principal investigator’s permit.
- This can be required using the setting under edit settings, rad, require delivery location selection on orders.
- Delivery notes (optional)
- Attachment (optional)
When the order status is set to submitted and saved, notification emails are sent to the ordering administrator.
3. Optional header fields
System administrators can enable additional optional fields:
- Order code – Setting: edit settings, rad, show code on order forms.
- Account info – Setting: edit settings, rad, show account number field on orders.
- Request delivery date – Setting: edit settings, rad, show requested delivery date for RAM orders.
4. Order contents – adding isotopes
In the order contents area, the principal investigator adds isotopes to the order.
- Use the isotope dropdown, which is filtered by the principal investigator’s permit.
- Optionally select a catalog item.
- Select Add item to order.
For each isotope item, the principal investigator enters:
- Number of units ordered
- Activity – Requested activity for each unit.
- Request a fresh lot?
- This checkbox flags the request in the notification email.
- Requesting a fresh lot may increase lead time because suppliers may need to prepare a new batch.
- Quantity – Required for mass‑dependent isotopes.
- Manufacturer
- Part or model number
- Both fields can be required using the setting under edit settings, rad, require manufacturer and part number on order items.
- Physical form
- Compound (optional)
- Permit – The permit that the order will count against.
An information box below the permit selection displays license details, order and possession limits, allowed forms, and current inventory activity for the isotope and permit combination.
The principal investigator can add multiple isotopes and then either save the order as a draft or submit it.
Permit‑limit enforcement can be enabled using the setting under edit settings, rad, enforce permit limits on order submission.
