Adding radioactive inventory directly into the system

This article explains how administrators and authorized users add radioactive material inventory directly, including required fields, permissions, and important considerations for accurate decay tracking.
1. Directly adding RAM inventory
By default, only system administrators and radiation safety officers can add radioactive material inventory directly. This is done by navigating to Data Manager, selecting Radioactive Materials, and choosing Add inventory.
Administrators may optionally allow certain non‑admin users to add inventory directly. This is configured under edit settings, rad, RAM inventory manager. An access role or user tag can be granted RAM inventory manager permission and assigned to the appropriate users.
2. Manage inventory – required fields
Selecting Add inventory opens the manage inventory window. The following fields must be completed:
- RAM permit
- Select the permit the inventory will count against.
- Principal investigators see only their own permits; administrators see all permits.
- RAM permit line
- Select the isotope line from the chosen permit.
- This displays license information, isotope details, order limits, and possession limits.
- Isotope – The isotope being added, tied to the permit line.
- Physical form – Solid, liquid, gas, sealed source, and other configured forms.
- Compound (optional) – Enter if the isotope is in a specific chemical form.
- Manufacturer
- Start typing to search existing manufacturers.
- If no match is found, a new manufacturer is added to the site list.
- Model or product number
- Code – Local identifier for the item.
- Lot – Lot number for traceability.
- Assay date
- Defaults to the current date and time.
- Should be set to the actual assay date and time at arrival.
- This is critical for accurate decay calculations.
- Assayed activity
- Enter the activity and select units.
- The system will not allow activity above the permitted or license limit.
- Current quantity
- Enter the physical quantity (grams, mL, etc.) if applicable.
- For mass‑dependent isotopes, such as certain uranium isotopes, quantity must be in grams.
- The system uses this value to calculate activity.

A checkbox is available to add the item as a new catalog entry.
Adding inventory directly bypasses any required fields configured for radioactive material orders under edit settings, rad.
