Spaces define how your organisation’s physical locations are structured within the platform. This hierarchy ensures that inspections, inventories, and compliance events can be accurately tied to specific sites, facilities, or rooms.
This article breaks down the hierarchy to help you better understand how to manage spaces within your platform.
1. Hierarchy
Ideagen SafetyStratus uses a three-tiered hierarchy for organising your space inventory:

Location - The broadest level, typically representing a campus, company division, or regional site.

Facility - A sub-area within a location, such as a building, plant, or job site.
- Room - The most specific level, where inspections, permits, and equipment are assigned.

This framework helps you maintain consistency when adding, updating, or reporting on physical spaces across your organisation.
If your site uses customised terminology (for example, if Rooms have been relabeled as Cities), the field or menu name may appear differently in your system. All functionality remains the same regardless of the label.
2. Locations
Locations are the top level of the hierarchy and must be configured before adding facilities or rooms.
Below are some examples to help you visualise its place in the hierarchy.

2.1. Location roster
Each location has a roster you can add users to that defines who can view and manage data across all facilities and rooms within that location.
2.2. Facility list
Lists all facilities assigned to this location. Use this view to confirm that each building or plant is associated with the correct site.
2.3. Inspection template schedule
Lets you define recurring inspection cycles at the location level.
2.4. Permit holders
Displays all active permit holders under that facility, including permit details and expiration tracking.
3. Facilities
Facilities represent the second tier of the hierarchy. These are typically buildings, plants, or job sites located within a specific location.
Below are some examples to help you visualise its place in the hierarchy.

3.1. Facility roster
Each facility has a roster you can add users to that lists all users responsible for or assigned to that building or job site. Added users can view facility-level data and receive inspection notifications or corrective actions.
Use this roster to ensure each facility has at least one on-site safety representative or supervisor listed.
3.2. Room list
Displays all rooms assigned to the facility. Use this view to confirm which workspaces, labs, or storage areas fall under the facility’s oversight.
3.3. Inspection template schedule
Lets you define recurring inspection cycles at the facility level.
3.4. Permit holders
Displays all active permit holders under that facility, including permit details and expiration tracking.
4. Rooms
Rooms are the most granular level of the hierarchy. They represent individual workspaces, laboratories, shops, or operational zones where inspections, assets, and permits are assigned.
They can be assigned to a group to allow team-based inspections (e.g., all research labs under a PI).
4.1. Room roster
Each room has a roster you can add users to that defines who can view and manage data across all facilities and rooms within that location.
Room rosters often include PIs, supervisors, or assigned safety coordinators.
4.2. Room assets
Lets you tag assets directly to their respective rooms to link inspection and maintenance records. This ensures that equipment-specific inspections appear in the correct room context.
4.3. Inspection template schedule
Lets you define recurring inspection cycles at the room level, independent of the facility or location schedule.
4.4. Room permits
Records room-specific permits (e.g. Confined Space Entry, Radiation Use Permit), including permit details and expiration tracking.
4.5. Permit holders
Displays all active permit holders under that room, including permit details and expiration tracking.
4.6. Inspections
Pending inspections list scheduled inspections awaiting completion.
Recent inspections show the latest inspections conducted for that room.
Review these lists regularly to confirm inspection compliance and identify overdue items.
