Replacing chemical containers

Administrator role is required.
The Replace function allows you to create a new container record based on an existing one, carrying over its core data to save time and preserve continuity when a container is depleted, expired, or swapped out for a fresh supply.
1. Accessing the Replace function
To access the Replace function, follow these steps:
- Navigate to the Chemical Inventory Dashboard.
- Locate the container you want to replace.
- Open the Action Menu (three-dot icon or dropdown) next to that container.
- Select Replace.
Note: To enable this feature, go to Edit Settings, then select Chemical Inventory, then choose Show Chemical Replace, then set to True. Once enabled, the Replace option will appear for users with the appropriate Chemical Inventory permissions.
2. Understanding what data carries over
- When using the Replace function, the system creates a new container record using key details from the original, including:
- Chemical Identity: Name, CAS number, catalogue number, hazard codes
- Ownership: Principal Investigator (PI), owner, department, and location
- Procurement Details: Purchase order number, requisition number, and storage codes
- Regulatory/Compliance Info: Permit status, regulatory codes, UN number
- Custom Data Fields: Any required or optional fields defined in your Chemical Inventory Form settings
- This eliminates the need to manually re-enter standard data for recurring containers.
3. Choosing disposal options
- An option at the top of the page allows you to dispose of the old container when populating the new one.
- Toggling this option allows you to choose whether to dispose of the old container immediately or keep it active:
- If disposed, the original container record is closed and marked as disposed while remaining visible in inventory history for audit purposes
- If kept active, both the original and the new replacement container will appear as separate entries in the inventory list
- This ensures a clear audit trail while maintaining an accurate count of on-hand chemicals.
