Transferring chemical containers between owners
Who is this article for?
Users who need to use the transfer fucntion.
Administrator role is required.
The Transfer function allows authorized users to move chemical containers to a different owner and, optionally, to a new location, ensuring containers do not change ownership without acknowledgment.
1. Understanding the transfer process
When you initiate a transfer, the container remains pending until the receiving owner accepts it. This process maintains inventory accuracy and full traceability across labs, departments, or facilities.
2. Enabling the transfer feature
A System Administrator must enable the Transfer option in the system settings before users can access it.
To enable the transfer feature, follow these steps:
- Go to Edit Settings.
- Select Chemical Inventory.
- Set Show Chemical Inventory Transfer Option to True.
Note: To allow non-admin users to transfer containers to any Principal Investigator (PI) in the organisation (not just PIs on their roster), set Allow Non-Admins to Transfer to True in the same settings area.
- Once enabled, the Transfer action will appear in the container's action menu for users with Partial Editing or Full Editing permissions.
3. Initiating a transfer
To initiate a transfer, follow these steps:
- Use the Chemical Inventory table, search bar, or advanced filters to locate the container.
- Click the Action Menu (⋮) next to the container.
- Choose Transfer.
Note: If Transitions is also available, ensure you select Transfer.
To complete the transfer details, follow these steps:
- In the New Owner field, search for and select the recipient PI.
- Select a Transfer Type:
- Ownership Only: Keeps the same location
- Ownership + Location: Moves the container to a new room (only rooms where the new PI is listed as an owner)
- If needed, enable the Surplus Option to make the container visible to other chemical owners if it is normally restricted.
- Add any instructions or notes in the Comments field (optional).
- Submit the transfer.
- The container will appear as pending until the recipient takes action.
4. Accepting or declining a transfer
When you receive a transfer, you will receive a system notification.
To respond to a transfer request, follow these steps:
- Go to Chemical Inventory.
- Select Transitions and Transfers.
- Choose Transfer Requests.
- Click the Action Eye icon to review the transfer details.
- Choose to Accept or Decline the request.
4.1 If you accept the transfer
- Ownership (and location, if selected) updates automatically
- Email notifications are sent to:
- The original sender
- The receiving owner
- Any roster members with the Chemical Inventory Manager role for that PI, this can be configured in:
- Edit Settings
- Chemical Inventory
- Chemical Inventory Manager.
4.2 If you decline the transfer
- No changes are made to the container
- The original sender receives an email notification that the request was declined
