Setting up inspection configuration
Who is this article for?
Users who need to setup Inspections.
Administrator role is required.
Before creating inspection questions, you must configure the foundational elements: Categories, Responses, Severities, Groups/Roster Roles, and optionally Action Tags.
1. Configuring categories
Categories organize inspection questions into logical sections for inspectors.
To create a category, follow these steps:
- Navigate to Edit Inspections.
- Select Categories.
- Enter a category name in the text field.
- Click Create Category.
To edit a category:
- Click the edit pencil icon next to the category.
- Choose from the following options:
- Rename the category
- Deactivate it (temporarily disables)
- Archive it (removes from the list)
2. Configuring responses
Responses define the selectable options inspectors use for radial response questions.
To create a response, follow these steps:
- Navigate to Edit Inspections.
- Select Responses.
- Enter a response name.
- Click Create Response.
To edit a response:
- Click the edit pencil icon next to the response.
- Choose from the following options:
- Edit the response
- Set display priority in lists
- Deactivate (disable temporarily)
- Archive (remove from list)
3. Configuring severities
Severities indicate the urgency or impact of an observation and trigger escalation actions.
To create a severity, follow these steps:
- Navigate to Edit Inspections.
- Select Severity.
- Click Create New Severity.
- Configure the following severity options:
- Label: Displayed name
- Priority: Order in dropdown
- Color: Text color for the label
- Display: Show severity next to corrective action due date
- Score Multiplier: Adjust weight in percentage Safe calculation
- Status: Active or inactive
- Email Trigger: Send notifications to object roster or access role members
To configure the escalation schedule:
- Click the yellow calendar icon.
- Set Days Before Due for the initial corrective action due date.
- Configure Escalation Levels 2–4 for subsequent notifications if the corrective action remains open.
4. Configuring groups and roster roles
Groups and roster roles assign responsibilities for corrective actions based on inspection results.
To create a group, follow these steps:
- Navigate to Edit Inspections.
- Select Groups.
- Enter a group name.
- Click Create Group.
To configure group settings:
- Click the edit pencil icon next to the group.
- Configure the following options:
- Name and Short Name: Display and shorthand labels
- Can perform hazard assessments: Role may conduct LATCH assessments
- Requires hazard assessment: Role must complete a hazard assessment
- Inspectable: Role can be inspected as an object
- Access Roles: Assign access roles for additional configuration
5. Setting up action tags
Action Tags allow corrective actions to be classified for additional filtering and reporting.
Note: Action Tags must be enabled by a SafetyStratus team member before use.
To access Action Tags:
- Navigate to Data Manager.
- Select Tags.
- Select Action Tags.
From this tab, you can:
- Search and filter existing tags
- Edit tag names or descriptors
- View associated actions by clicking Show associated tag list to see all corrective actions linked to that tag
To create a new Action Tag, follow these steps:
- Click Create New Tag.
- Enter a Tag Name (short identifier).
- Enter a Descriptor (optional explanation).
- Click Save.
To use Action Tags during inspections:
- When a corrective action is generated during an inspection, select applicable action tags from the Action Tag field.
Tags help classify actions for later filtering on the Corrective Actions page. Administrators or managers can isolate actions by tag to monitor specific trends or issues efficiently.
