Setting up inspection templates

Users who need to setup Inspection template checklists.
Administrator role is required.
Inspection templates compile questions, categories, and settings into a usable checklist for inspectors.
1. Accessing inspection templates
To access inspection templates, follow these steps:
- Go to Edit Inspections.
- Select Templates.
From this screen, you can view all templates including their type, scored status, and active or inactive status. You can also export templates as CSV or PDF, edit template settings, or clone an existing template.
2. Creating a new template
To create a new template, follow these steps:
- Enter the template name.
- Click Create Template.
- Click Edit Template to configure questions, categories, and settings.
3. Configuring template information
The Template Info section allows you to define basic template properties.
- Name: Edit the template label as needed.
- Type: Select how questions behave in this template:
- Inspection Template – Standard questions (Response, Numeric, Text) with corrective actions
- SAM Template – Observation-based, tracks Safe and Unsafe counts
- Quick Complete – No questions; inspection completes automatically
4. Managing categories and questions
To manage categories and questions, follow these steps:
- Select Categories.
- Expand categories to view their questions.
- Use question toggles to enable or disable questions per template.
- Click Sort by Selected to bring active categories and questions to the top.
- Use auto-fill responses to preselect text or radial options.
- Adjust question order using the arrows.
- Adjust category order using the controls at the top-right of each category.
5. Configuring template settings
The Settings tab provides advanced configuration options for your template.
- Scored Inspection: Enable severity-based scoring where higher multipliers have greater impact on the final score.
- Aggregate Notifications: Consolidate daily inspection emails into a single notification.
- Notify Inspector: Choose between daily summary or immediate email notifications.
- Inspection Date Override: Allow inspectors to adjust the inspection start date.
- Restricted Template: Limit template visibility to specific objects.
- All Questions Must Be Answered: Toggle whether completing all questions is mandatory.
- Send Emails: Enable or disable email notifications for this template.
- Review Inspection: Require reviewer approval before sending notifications.
- Pending Inspection Notifications: Toggle notifications for pending inspections.
- Action Questions: Assign default action questions to this template.
- Location-Based Action Questions: Customise actions per location.
- Template Cycle: Define overdue and pending inspection timelines.
- Report View Role: Restrict who can view reports for this template.
- Aggregate Days: Schedule grouping of aggregated notifications.
- Inspectable Object Filter: Restrict template to specific object types (Room, Group, User, Asset).
- Email Preferences: Automatically enable Receive Email for roster members.
- Help Content: Add optional guidance text displayed to inspectors.
