Administrators responsible for event management.
Administrator role is required.
Events, or Calendar Events, help you schedule, assign, and track recurring compliance activities across your organisation.
This article explains how you can create a new calendar event.
1. Adding an event
The process of adding an event is split into three steps to ensure all necessary details are in place before you create the event.
1.1. Calendar Event Details
To complete event details:
- Navigate to the Program Builder.
- Switch to the Calendar Events tab.
- Click + Calendar Event.
- Select a Subprogram from the dropdown.
This is the parent subprogram the new event will belong to. - Choose a Framework from the dropdown.
This is the parent framework the event falls under. The available options are filtered based on the subprogram selected. - Enter an Event Title.
- Add a Event Description.
- Set the Initial Due Date.
This is the first deadline for completion. - Click Next.
This will take you to the assigning step.
Use clear, action-based titles and descriptions. This makes it easier for assignees to understand what’s expected without needing extra clarification.
1.2. Assign Calendar Event
To assign an event:
- Choose who or what the event applies to.
You can assign one or multiple options:- User tags/Access roles - Assign by role. If assigning to an individual, set the Responsible Role to Self.
- Rooms - Target specific spaces. Requires a roster role is require. If no one is listed, the system defaults to the Responsible User.
- Users - Assign directly to individuals (Responsible Role must be Self).
- Assets - Connect the event to equipment or items (e.g., safety cabinets, detectors).
- Organisation/Department/Location/Building - Apply broadly. Assignments cascade down to rooms, users, and assets.
- Assign a Responsible Role.
This is the roster role accountable for completing the task. - Set a Default Responsible.
This is a fallback user (must be a System Administrator) when a user isn't available to be assigned based on the above selections. - Click Next.
This will take you to the review step.
Broad assignments (like at the Department or Location level) create multiple linked events. Review carefully to avoid duplicate or unnecessary assignments.
When assigning to rooms, make sure the correct roster roles are set up ahead of time. Otherwise, tasks may default to the System Administrator, creating extra work.
1.3. Review Calendar Event
To review an event:
- Double-check event details.
- Double-check assignment details.
- Click Submit.
Once submitted, the event will go live and generate all the required assignemnts.
