Configuring reviewer and approver roles in permits

This article explains how to configure reviewer and approver roles within the permits workflow, including static assignments, permit committees, and ad-hoc additions during the review process.
1. Understanding reviewer and approver roles
The permits workflow uses two distinct roles to manage the review and approval process:
Reviewers provide feedback or technical input during the review process. They can view applicable form sections and leave comments but cannot approve or reject permits. Notifications are automatically sent when reviewers are added or removed.
Approvers make final decisions to advance the permit in the workflow. They can approve, reject, or request changes, and their actions are logged in the activity history. Approvers view form sections tied to their role and receive notifications when added, removed, or when a permit reaches their approval step.
2. Choosing a configuration method
You can configure reviewers and approvers using three methods, each suited to different workflow requirements:
Static Assignment (via Edit Forms) adds fixed approvers to the workflow who appear in sequence every time the permit type is used. Use this method for always-required approvals, such as an Environmental Health and Safety (EHS) lead approval.
Permit Committee (via Permit Type settings) creates a predefined pool of reviewers and approvers with optional default assignments. Priority determines the sequence. Use this method for department-specific approval committees.
Ad-Hoc Assignment (during review) allows you to add reviewers or approvers mid-process via the Permit Authorization Page. Use this method when pulling in a subject matter expert after a safety concern is identified.
3. Reassigning applicants during the process
Administrators can change the permit owner without restarting the process. This is useful for staff turnover, project handovers, or department reassignments.
To reassign an applicant, follow these steps:
- Edit the relevant process step.
- Assign the new applicant.
