Configuring key field names for permits

When configuring permit forms in SafetyStratus, certain field names must be used consistently to enable key system functions such as permit ownership, roster-based access, and dynamic reviewer assignment.
1. Understanding required field names
The following field names must be used exactly as shown to ensure correct system behaviour and automated reviewer access post-approval. Each field serves a specific purpose in managing permit ownership and access control.
2. Setting up the permit holder field
The permit holder field captures the primary permit holder (for example, Principal Investigator or responsible individual).
- Field Name: cofe_permit_user_id
- Configuration: Use the User Database Dropdown field type to link the user to the permit record
3. Configuring permit holder's authorised users
This field automatically pulls the list of users from the permit holder's roster. Once the permit is approved, any users selected here will be automatically added as reviewers with view-only access to the approval details.
- Field Name: cofe_permit_authorized_users
4. Adding Co-Principal Investigator fields
If your institution uses Co-Principal Investigators as shared responsible parties on a permit, their information and associated users can be captured using the following fields.
To link the Co-Principal Investigator to the permit, follow these steps:
- Use the field name cofe_copi_id.
- Configure it with the User Database Dropdown field type.
To configure the Co-Principal Investigator's roster access:
- Use the field name cofe_copi_roster.
- This field pulls the list of users from the Co-Principal Investigator's roster.
- Upon approval, the selected users are automatically added as reviewers to view permit details, similar to the primary permit holder's roster.
